Welcome to CueOps

CueOps is a complete field operations platform built for heavy equipment contractors. It includes three connected applications:

  • Admin Dashboard — Your command center. Manage jobs, dispatch techs, send invoices, track payroll, run reports, and oversee every part of your business from one screen.
  • Field Tech App — A mobile-friendly app your technicians use in the field. They see their jobs, navigate to sites, clock in/out, take photos, capture signatures, and complete safety forms.
  • Customer Portal — A branded self-service portal your customers use to track active service, view invoices, request new work, and download documents.

All three apps stay in sync in real time. When a tech marks a job complete in the field, the admin dashboard updates instantly and the customer can see it in their portal.

System Requirements

  • Admin Dashboard: Any modern browser (Chrome, Safari, Edge, Firefox). Desktop recommended.
  • Field Tech App: iPhone (Safari) or Android (Chrome). Added to home screen for app-like experience.
  • Customer Portal: Any modern browser on desktop or mobile.
  • Internet: All apps require an active internet connection.

Admin — Overview 4 articles

Logging In

Open the Admin Dashboard URL in your browser.

Navigate to your CueOps Admin Dashboard URL.

Enter your email address and password.

Click Sign In.

You'll land on the Dashboard tab showing your KPIs and activity feed.

Pro Tip

Bookmark the dashboard URL and pin it as a browser tab so it's always one click away.

Dashboard Tour

The Dashboard is your at-a-glance view of everything happening today:

  • KPI Cards: Revenue, jobs completed, active techs, outstanding invoices.
  • Weather Widget: Current conditions and 5-day forecast.
  • Activity Feed: Live timeline of events.
  • Revenue Chart: Revenue over time with period selectors.

Press Cmd+K (Mac) or Ctrl+K (Windows) from anywhere to open universal search. Search for customers, jobs, technicians, invoices, or navigate to any tab.

Pro Tip

Universal search is the fastest way to get anywhere. Instead of clicking through tabs, just hit Cmd+K and type what you need.

Guided Tour

Click the "Take a Tour" button in the top-right corner of the dashboard. It walks you through every major section with interactive tooltips.

Creating a New Job

Click the Jobs tab in the left sidebar.

Click + New Job.

Fill in: Customer, Service Type, Job Address, Scheduled Date & Time, Assigned Technician, Priority, and Notes.

Click Create Job. It appears on the jobs list and dispatch board.

Job Status Workflow

Booked Dispatched En Route Arrived In Progress Completed
  • Booked: Scheduled but not yet in a tech's queue.
  • Dispatched: Tech notified, job on their app.
  • En Route: Tech driving to site.
  • Arrived: Tech at the job site.
  • In Progress: Work underway.
  • Completed: Done — photos, signature captured.

Assigning a Technician

Open a job by clicking on it.

Find the Assigned Tech dropdown.

Select a technician (you'll see their current status).

Save. The tech sees the job on their app.

Viewing Job Details

Click any job to see: customer info, address with map link, status timeline, assigned tech, photos, signature, notes, and related invoice.

Editing / Updating Jobs

Open a job and click Edit to modify any field. Changes sync to the tech's app immediately.

Exporting Jobs to CSV

Go to Jobs tab, apply filters, click Export CSV. A file downloads with all visible jobs.

Tech Lanes View

Each technician as a horizontal "lane" with assigned job cards. Drag and drop between lanes to reassign.

Kanban Board View

Jobs in columns by status: Booked | Dispatched | En Route | In Progress | Completed. Drag cards between columns.

Live GPS Map

Real-time tech locations on a map (updates every 30 seconds). Toggle heat map view for job density.

Weather Forecast

Current conditions and 5-day forecast to plan around weather.

Profit Margin Views

Profit breakdowns by service type, by technician, and by customer.

Week Calendar View

Navigate weeks with arrows. Each row = a tech, each column = a day. Click a job block to see details, or click an empty slot to create a new job.

Creating Jobs from Schedule

Click an empty time slot on the calendar.

Form opens pre-filled with that tech and date.

Fill in customer, service, address.

Click Create Job.

Unassigned Jobs

Below the calendar — jobs without a tech assigned. Drag them onto the calendar to assign and schedule.

Adding a New Customer

Click Customers tab, then + Add Customer.

Fill in: Company Name, Contact Name, Email, Phone, Address, Notes.

Click Save Customer.

Customer 360 View

Click any customer: contact info, job history, invoice history, health score, lifetime revenue, last service date.

Customer Health Scores

Automated 0–100 score based on recency, frequency, payment speed, and revenue. Below 40 = at risk.

Searching Customers

Search by company name, contact name, email, or phone. Filters in real time.

Adding a New Technician

Click Technicians tab, then + Add Technician.

Fill in: Name, Phone, Hourly Rate, Skills, Commission %.

Click Save.

Technician Cards

Each card shows: name, status, jobs completed, revenue generated, avg completion time, customer rating.

Setting Up Tech Login Credentials

Open tech's profile, set username and 4-digit PIN. Share with the tech for mobile app login.

Creating an Estimate

Estimates tab → + New Estimate → Select customer → Add line items with Good/Better/Best pricing → Save.

Sending Estimates

Click Send to Customer. Emailed as a professional PDF with your branding.

Converting Estimates to Jobs

Click Convert to Job. CueOps creates a new job pre-filled from the estimate.

Tracking Win Rate

See your overall win rate — percentage of sent estimates that convert to jobs.

Creating an Invoice from a Job

Open a completed job.

Click Create Invoice. Pre-populated with customer, service, pricing, date.

Add any additional line items.

Click Finalize Invoice.

Invoice Line Items

Labor, Parts, Materials, Equipment, and Custom charges.

Sending Invoices (Email)

Click Send Invoice. Customer gets email with invoice and pay link.

Text-to-Pay (SMS Payment Links)

Click Text-to-Pay to SMS a payment link. Most customers pay within hours.

Pro Tip

Text-to-Pay gets invoices paid 3x faster than email. Use it as your default.

Batch Operations

Select multiple invoices → Send All or Mark Paid in bulk.

Techs can also clock in/out from their mobile app. Admin clock-in is useful for adjustments.

Weekly Payroll Summary

Regular hours, overtime (1.5x over 40 hrs), and total pay per tech.

Exporting Payroll to CSV

Click Export Payroll for your accountant or payroll processor.

Date Range Payroll Reports

Select custom date ranges — weekly, biweekly, monthly, or custom.

Fleet tab → + Add Vehicle → Year, Make, Model, VIN, Plate, Type → Save.

Vehicle Assignment

Fuel Log

Log fuel purchases — gallons, cost, odometer. Track fuel costs per vehicle.

GPS Locations

Last-known location of each vehicle on a map, based on the assigned tech's GPS.

Pricebook tab → + Add Item → Service Name, Category, Good/Better/Best prices, Cost (margin auto-calculated) → Save.

Group services into categories for easy lookup when building estimates and invoices.

Inventory Parts

Track parts: name, SKU, stock level, minimum stock alerts, unit cost, sell price.

Pro Tip

Set minimum stock levels on critical parts so you never run out in the field.

QuickBooks tab → Connect QuickBooks.

Sign in with your Intuit credentials.

Authorize CueOps. You're redirected back with success.

Auto-Sync Settings

Configure auto-sync for invoices, payments, and customers.

Syncing Invoices and Customers

Click Sync Now to push pending changes immediately.

Troubleshooting Sync Issues

  • Token expired: Click "Reconnect QuickBooks" to re-authorize.
  • Duplicate customer: CueOps matches by name. Rename to match in one system.
  • Sync failed: Check sync log — usually a missing email or unmapped account.

Field Tech App 15 articles

Installing on iPhone

Open Safari (must be Safari — Chrome won't work).

Navigate to the Field Tech App URL.

Tap the Share button (square with upward arrow).

Scroll down, tap "Add to Home Screen".

Tap Add. The CueOps icon appears on your home screen.

Important

On iPhone, you MUST use Safari. Chrome on iOS doesn't support "Add to Home Screen."

Installing on Android

Open Chrome.

Navigate to the Field Tech App URL.

Tap the three-dot menu (top-right).

Tap "Add to Home screen"Add.

Logging In

Enter the username and PIN your admin set up for you.

Viewing Today's Jobs

After login, see all your assigned jobs for today: customer, address, service type, time, status.

Job Workflow

Start Driving — GPS tracking begins, status = En Route.

Arrived — Status = Arrived.

Start Work — Status = In Progress.

Complete — Add photos, notes, signature → Done.

Taking Photos

Tap Add Photo during or after a job. Photos attach to the job record.

Getting Customer Signatures

Signature canvas appears when completing a job. Customer signs with their finger.

Adding Job Notes

Tap Notes on any active job. Syncs to admin dashboard instantly.

Using the Map

Your location (blue dot) + today's job pins. Tap a pin to navigate using your maps app.

Clocking In / Clocking Out

Time Clock tab → Clock In / Clock Out. Hours go to admin's payroll.

Viewing Your Timecard

Today's hours + weekly summary with daily breakdown.

Completing a DVIR

Safety tab → New DVIR → 12 inspection items (Pass/Fail/N/A) → Submit. Admin gets notified of failures.

Completing a JSA

Safety tab → New JSA → Document hazards, PPE, site conditions → Submit.

GPS Tracking

Active when you tap "Start Driving." Updates every 30 seconds. Admin + customer can see your location.

Pro Tip

Set Location Services to "Always Allow" for your browser. Check Settings > Privacy > Location Services on iPhone.

Profile & Signing Out

Tap profile icon (top-right) to view details, change PIN, or sign out.

Customer Portal 9 articles

Accessing the Portal

Navigate to the Customer Portal URL → Enter your Customer ID → Click Access Portal.

Portal Overview

Quick stats (jobs, balance, next service), company info, and recent service summary.

Active Service + Live GPS Tracking

When a tech is en route, the portal shows a live map with their real-time location.

Service History

View upcoming and completed jobs with dates, service type, and tech name.

Rebooking a Previous Service

Click Rebook on any completed service. Form pre-fills — just pick a new date.

Viewing Invoices + Payment

See all invoices (sent, paid, overdue). Click Pay Now for credit card or ACH.

Downloading Documents

Download service reports, Certificate of Insurance (COI), and W-9.

Requesting New Service

Click Request Service → Service Type, Preferred Date, Address, Description → Submit.

Switching to Spanish (EN/ES)

Click the language toggle (top-right) to switch between English and Spanish.

Troubleshooting & FAQ 7 articles

Login Issues

  • Forgot password? Contact your admin.
  • Tech app won't log in? Verify username, PIN, and URL.
  • Portal won't accept Customer ID? It's case-sensitive.

GPS Not Working

  • iPhone: Settings > Privacy > Location Services > Safari = "While Using" or "Always."
  • Android: Settings > Location = ON. Chrome > Site Settings > Location = allowed.
  • Still broken? Close/reopen browser. Remove and re-add home screen app.

QuickBooks Sync Errors

  • Token expired: Click "Reconnect QuickBooks."
  • Duplicates: Rename to match in one system.
  • Missing invoices: Check sync log for errors.

Invoice Not Sending

Check: valid customer email, invoice is Finalized (not Draft), mobile number for Text-to-Pay.

Tech App Not Loading

Check internet. Clear browser cache. Open URL directly in browser to see error.

Browser Compatibility

Desktop: Chrome, Safari, Edge, Firefox. iPhone: Safari. Android: Chrome.

Not Supported

Internet Explorer is not supported. Use Edge, Chrome, or Firefox.

Mobile App Not Installing to Home Screen

  • iPhone: Must use Safari. Open URL → Share button → Add to Home Screen.
  • Android: Must use Chrome. Open URL → three-dot menu → Add to Home screen.
  • Not showing? Make sure you're on the main URL, not a subpage. Refresh first.
